AI sourcing software for staffing and secondment agencies

For a staffing agency, AIcruiters takes over the sourcing behind client orders. It turns each order into a search strategy, searches the market, ranks candidates against the requirements and approaches them personally. Your recruiters receive interested candidates to call, check and place, while planning, payroll and client management stay in your own systems.

Where does sourcing slow a staffing agency down?

In the gap between the client's order and the first suitable candidate. A logistics client asks on Monday for six order pickers by next week; a manufacturer needs two maintenance engineers on a twelve-month secondment. The candidates in your own pool are busy, placed elsewhere or no longer reachable, so the recruiter starts searching again.

That search is rarely new. Staffing agencies fill the same functions over and over, often for the same clients. The knowledge of which titles, certificates and previous employers point to a good fit lives in the heads of experienced recruiters, and every order is sourced as if it were the first.

With volume, the cost is not one long search but hundreds of short ones. Each takes recruiter hours that are not spent calling candidates, visiting clients or keeping flex workers on assignment.

How does AIcruiters handle a repeat order?

An example: a client orders three more electrical engineers for a project that already has people on site.

Step 01 · Order in

The order becomes a search strategy

Vacancy intelligence maps requirements, relevant titles, certificates and adjacent career paths. For a role you have filled before, the recruiter mainly checks what changed: location, start date, shift pattern.

Step 02 · Market search

Relevant profiles are found

Several search routes run at once and duplicate or irrelevant profiles are removed before anyone is approached.

Step 03 · Outreach

A message that fits the work

Candidates hear the facts of a flexible or secondment role: the project, the location, the duration. You set the tone and whether messages need approval.

Step 04 · Handover

The recruiter calls interested candidates

Positive replies arrive with the profile, the match rationale and the conversation, ready for the intake call and the checks your agency always does.

The recruiter's time moves from searching to calling, checking and placing.

Which staffing roles benefit most?

Roles you fill repeatedly, where candidates have a visible professional profile and where the market is tight enough that waiting for applicants does not work. Think of electricians and other skilled trades, engineers and planners in manufacturing, or team leads and specialists in logistics.

Be realistic about the rest. Outreach runs through LinkedIn, and many candidates for entry-level warehouse or production shifts do not keep a LinkedIn profile up to date. For those orders your job boards, referral schemes and existing pool remain the main channel. We say so in the demo if an order is a poor fit.

Building a pool instead of starting over

Every order produces a ranked, explained list of relevant people, and interested candidates are handed over with the conversation. What you keep of that in your own systems, and so can reuse for the next order, depends on how the handover is set up. Read how agencies keep a talent pool usable over time.

What stays in your own systems

Scheduling, timesheets, payroll, contracts and client portals. AIcruiters is the sourcing layer, not staffing back-office software, and it does not decide who is placed.

Why does follow-up matter more in staffing?

Because flex workers change assignments quickly. A candidate who is busy today may be available in three weeks, and a missed follow-up is a missed placement. AIcruiters follows up consistently within the rules you set and hands the conversation over as soon as someone is interested.

  • Follow-up runs on schedule, not on recruiter memory
  • Follow-up rules are agreed per implementation
  • Recruiter takes over with the full conversation history

Questions from staffing agencies

Can it handle orders for ten or twenty people at once?

Sourcing runs in parallel, so a larger order does not wait for one recruiter's search. Whether the market holds twenty suitable candidates on LinkedIn is a different question, and one we check on your real order in the demo.

Does it replace our staffing software?

No. Planning, payroll, hours and contracts stay where they are. AIcruiters sources and approaches candidates and hands interested people to your recruiters. ATS integration is assessed per system.

Is it worth it if we have few LinkedIn Recruiter seats?

It can be. The business case also counts the recruiter hours spent searching. The business case page shows how both are calculated, always as an indication.

How does it compare with searching in LinkedIn Recruiter ourselves?

LinkedIn Recruiter works well when a recruiter has time to search one order carefully. With many short, repeating orders the question is who does that work each time. See AIcruiters vs LinkedIn Recruiter.

Who decides which candidates we approach?

Your team. You set the criteria and approval rules, and uncertain cases go to a recruiter.
